At SubCada, we recognize the critical importance of privacy and the confidentiality of the construction compliance documents, insurance certificates, licenses, and business records managed on our platform.

1. Information We Collect

We collect information you provide directly when registering for an account, adding trade subcontractors, uploading vendor documents, or communicating with customer support. This includes:

• Account details (name, email address, password, company name)
• Subcontractor contact information (vendor name, contact person, email, phone, notes)
• Uploaded compliance documents (insurance policies, ACORD certificates, W-9 forms, trade licenses)
• Prequalification questionnaires, application answers, project references, invitation activity, reviewer decisions, and supporting files supplied to a general contractor
• Billing information (processed securely through Polar; we do not store full payment card numbers)

2. How We Use Your Information

We use your information exclusively to provide, maintain, and improve our services, including:

• Generating and sending automated document expiration reminders on your behalf
• Providing secure single-use document upload links to your subcontractors
• Calculating and displaying compliance statuses on your dashboard
• Processing subscription payments and invoices

3. Data Security and Confidentiality

All files uploaded to SubCada are stored in private cloud storage buckets with AES-256 encryption at rest. Document downloads require time-limited cryptographic signed URLs. We do not sell or rent your data or your subcontractors' information to any third parties.

4. Prequalification records

Public questionnaire drafts are stored in your browser. Online applicant drafts and submitted revisions are stored on our servers and shared with the requesting organization’s owners and administrators. Private invitation links allow recipients to resume their application until expiration or revocation. Keep these links confidential. We do not share one contractor’s private application records with another contractor.

Contact support@subcada.com for access or deletion requests. Retention and deletion requests are handled under the applicable account and legal requirements; archiving a form does not delete its applications or files.
