What should a COI tracking spreadsheet contain?

A useful tracker connects each subcontractor to contact details, policy expiration dates, endorsements, licenses, follow-up dates, and a simple overall status. The generated workbook lets you choose only the fields your team will maintain.

How general contractors track insurance expirations

Office teams typically enter the expiration date from each current insurance document, sort or filter the sheet regularly, and contact subcontractors before coverage expires. Status formulas help surface records that need attention, but the source dates still require manual review and updates.

How does the status formula work?

For the expiration fields you include, a blank date is Missing, a past date is Expired, a date within 30 days is Expiring Soon, and a later date is Current.

Does SubCada receive the information I enter in the workbook?

No. The blank workbook is generated in your browser and downloaded to your device. No subcontractor data is uploaded by this tool.

Can I import the workbook into SubCada?

SubCada currently provides a CSV importer for subcontractor contact records. This XLSX tracker is designed for Excel and is not presented as a direct import template.
