Reminders & upload alerts

Configure renewal emails and understand their timing.

What it is and why it helps

Renewal emails follow document expiration dates. Upload alerts tell the owner when a subcontractor submits through a collection link.

How to use it

  1. Open Settings → Automated Renewal Reminders.
  2. Enter comma-separated days before expiration, such as 30, 14, 7, 1, 0.
  3. Enable or disable renewal and upload notifications, then save. Settings changes require an owner or workspace administrator.
  4. Use a document's request control for manual follow-up.

Renewal schedule

The daily job runs at 08:00 UTC and sends on exact matching calendar-day intervals. Zero means expiration day. It does not catch up every missed interval or send daily overdue messages.

Only documents with dates are processed; inactive and archived companies are skipped. Missing files with no dates are not automatically chased. Recorded successful intervals are skipped until document changes reset reminder records.

The expiry setting controls renewal emails to subcontractors. The implementation does not send a separate contractor expiry-summary email despite its settings label.

Upload notifications

When enabled, a successful subcontractor-link upload attempts an email to the organization owner with a record link. Contractor-uploaded files do not trigger the same alert.

Prequalification reminders

Application deadlines use separate seven-, three-, and zero-day reminders, processed daily at 10:00 UTC. Manage those on the application rather than the compliance interval field.
