Document requirements

Choose defaults and attach requirements to individual companies.

What it is and why it helps

Requirements describe the documents your company wants to collect, using organization defaults or individual company attachments.

How to use it

  1. Open Settings → Document Requirements.
  2. Select required defaults or add a custom type and choose whether it tracks expiration.
  3. Choose Save Requirements. The screen requires at least one selected or new required type.
  4. Use Add Document Requirement on a subcontractor record for an individual attachment.

How defaults work

Saving adds missing selected requirements to existing nonarchived companies without replacing their files. New companies receive currently required types.

Deselecting a default does not remove already attached documents. Their missing status only affects overall compliance when required, but their expiration still matters. Use the document editor for individual removal.

Certificate of Insurance (COI)

COI is an available expiration-tracking type. General Liability, Workers' Compensation, and other insurance types have separate entries. Choose what you actually collect. A document label does not mean its policy limits or coverage have been verified.

W-9

The W-9 default does not track expiration. An uploaded W-9 can be current without a date. Consider who in the shared compliance workspace should access tax information before collecting it.

Custom requirements

Enter the type name, select expiration tracking if appropriate, and save. Custom types created here are required. The setting controls how attached uploaded files are evaluated.
